nexxworks

An event where last-minute changes had to reach the room

nexxworks needed attendees to know the schedule and the building, and to hear last-minute changes without a new PDF. Eventumbot sat in Facebook Messenger — which most people already had — and connected to Slack for the internal team.

Situation

Attendees were under-informed about timing and facilities. Pushing last-minute changes by email was too slow. The operations team already lived in Slack and did not want a third inbox.

Constraints

The chatbot had to live where attendees already messaged. Internal communication could not be copied by hand from Slack. Flexibility from the vendor mattered more than a rigid feature checklist.

Implementation

Eventumbot answered schedule and facility questions in Messenger, sent pushes for last-minute changes, and integrated with nexxworks’ Slack. The Botwiser team adapted the setup rather than forcing a generic template.

Results

  • Attendees were better informed about the schedule and facilities.
  • Participants could get answers and receive last-minute change alerts.
  • The bot used Facebook Messenger and joined existing Slack operations.
